Capacity & Athlete Limits
What Is Capacity?
Capacity is FormLab's system for helping you stay in control of your coaching workload. Instead of accepting unlimited subscribers, you set a weekly hours commitment and FormLab calculates how many athletes you can realistically coach within that time.
When your capacity is configured, a capacity meter appears throughout the app — giving you an at-a-glance view of how full your coaching roster is before you take on new athletes.
The Capacity Wizard
The first time you configure capacity, you'll walk through a short setup wizard:
- Weekly Hours: Enter how many hours per week you want to dedicate to coaching (e.g., 10 hours/week)
- Review: FormLab shows your calculated maximum subscriber count based on your tier video limits and weekly commitment
- Confirm: Save the configuration to activate the capacity system
Once configured, the wizard updates to a summary view. You can re-enter the wizard at any time to adjust your weekly hours commitment.
Tip: Your weekly hours are a target, not a hard ceiling. The capacity system gives you visibility — you still control which athletes you accept.
The Capacity Meter
The capacity meter appears in several places throughout FormLab:
- Your coach dashboard
- The Subscriptions settings page
- Subscription tier modals when opening spots to more athletes
The meter uses three color states:
- Green: You have open capacity — you can comfortably take on more athletes
- Amber: You're approaching your limit — consider whether new subscribers fit your schedule
- Red: You're at or over capacity — you may want to limit new subscriptions
How Capacity Is Calculated
Your capacity is calculated based on:
- Your configured weekly coaching hours
- The video review limits in each of your subscription tiers
- The number of current active subscribers across all tiers
For example: if you have 10 weekly hours and each subscriber submits an average of 2 videos per month, FormLab estimates how many subscribers fill your available coaching hours.
Subscriber Limits
Your configured capacity determines the maximum number of concurrent subscribers across all your tiers combined.
When you're at capacity:
- New athletes can still visit your public page
- The "Subscribe" button may show as unavailable or prompt them to join a waitlist
- Existing subscribers continue their subscriptions unaffected
Opening More Spots
If you want to take on more athletes beyond your current capacity:
- Go to Subscriptions → your subscription tier
- Click "Open More Spots" or increase the subscriber limit
- The capacity meter updates immediately to reflect the change
Or adjust your weekly hours commitment in the Capacity Wizard to increase your overall capacity ceiling.
Frequently Asked Questions
What happens to athletes when I reach capacity? Existing subscribers are never affected. New athletes trying to subscribe will see that the tier is full.
Can I increase capacity temporarily? Yes — adjust your weekly hours in the Capacity Wizard at any time. The change takes effect immediately.
Does capacity affect my existing tier pricing? No. Capacity is separate from pricing and video review limits. You can have a full roster at any price point.
